We have an exciting opportunity to join Crombie REIT in the role of Assistant Property Manager. Based out of our Calgary Office, the Assistant Property Manager contributes to Crombie REIT’s success by assisting the Property Operations team in the day to day management and operations of retail, office and mixed-use properties. Service oriented and acting with a sense of urgency, this role provides support for all operational aspects of an assigned portfolio of properties. Other duties of the Assistant Property Manager include, but are not limited to:
•Responds to client requests, determining the required action and service levels for a portfolio of properties.
•Monitors client check-in program to ensure check-ins are being completed and that all clients have an assigned Crombie team member.
•Coordinates client move-ins and move-outs with Crombie Client Services Centre and/or Tenant Coordinators.
•In collaboration with the Property Manager(s), responds to all operational issues, as well as, short- and long-term client needs and assists in resolving client issues.
•Completes property inspections on a regular basis to ensure a high standard of operations and appearance at the site; reporting back to the Operations Team.
•In collaboration with the Operations Team, assists with the preparation of service contracts in accordance with the Crombie REIT policies and procedures, ensuring that contract specifications with service providers are met.
•Supports the Property Manager(s) in ensuring that programs related to the overall operation of the complex are implemented in a timely efficient manner by regularly reviewing the execution of areas such as, but not limited to, marketing, environmental management, waste management, landscaping, pest control, snow removal, client coordination, and Health & Safety to ensure cost effective facility management in compliance with all relevant legislation.
•Maintains and monitors a list of ongoing and upcoming projects.
•Supports the collection of client rents when initial efforts by Accounts Receivable department fail.
•Works closely with Management Team to ensure effective execution of all operational programs and ensure effective communication practices are developed and implemented.
•Prepares and/or reviews client correspondence as necessary.
•Assists with analyzing monthly financial statements & preparation of monthly operational commentary and variance reports, for inclusion in monthly management reports. Tracking budgets for portfolio operations, checking service agreements to ensure that costs and services rendered are as originally agreed/contracted.
•Monitors expenses on a monthly basis by reviewing actual performance against budget and conducting a monthly variance analysis to determine reasons for variance and recommend methods to the Property Manager to address the situation in order to ensure expenditures remain within prescribed budgets.
•Provides support to ensure that Crombie’s Occupational Health and Safety policies are routinely assessed at the property level, promoting sound environmental practices within the portfolio of properties.
•Works with the Marketing Team to initiate, develop and implement marketing programs and events to promote the centre as required.
•Works with Crombie IT department to provide technical support for assigned Crombie office locations and ensure staff is equipped with the right tools to perform their job in an efficient and effective manner.
•Monitors work order systems to ensure requests are closed in a timely manner and preventative maintenance is being performed. Reports any discrepancies to the Property Manager for review.
The successful candidate will have:
•Post-secondary education in Business or an equivalent combination of education and related experience
•Ability to travel to sites as required
•Minimum of 5 years property operations experience in a professional environment
•Prior experience with Yardi Voyageur is considered an asset
•Proficient with Microsoft Office Suite
•Exceptional organizational skills with a high attention to detail
•Superior communication skills, both verbal and written
